1. Our commitment to privacy

Coro Angels Charitable Trust is a Christian-based charitable organisation committed to serving people with compassion, dignity, integrity, and respect. We recognise that the personal information entrusted to us is important, and we are committed to protecting privacy in accordance with the Privacy Act 2020 and the New Zealand information privacy principles.

2. What personal information we collect

We may collect personal information that is reasonably necessary for our charitable, pastoral, administrative, fundraising, volunteer, employment, governance, and community support activities. This may include names, contact details, dates of birth, emergency contact details, family or household information, donation and payment information, volunteer records, employment information, correspondence, photographs or video where consent has been obtained, and information shared with us when a person seeks prayer, pastoral support, mentoring, advocacy, practical assistance, or other help.

3. How we collect personal information

Where possible, we collect personal information directly from the person concerned. We may collect information through forms, referrals, conversations, emails, phone calls, messages, meetings, events, donations, volunteer applications, employment processes, website forms, or other interactions with Coro Angels Charitable Trust. If we receive information from another person or organisation, we will take reasonable steps to ensure the person concerned is aware of the collection where required by law.

4. Why we collect and use personal information

We use personal information for purposes connected with our charitable mission and operations, including to provide support and care, respond to requests for assistance, arrange prayer or pastoral support, manage volunteers and staff, communicate with donors and supporters, process donations and issue receipts, organise events and programmes, meet health and safety responsibilities, meet legal and reporting obligations, protect people from harm, maintain records, and improve our services.

5. Sensitive information, prayer requests, and pastoral care

Some information shared with us may be personal, sensitive, spiritual, health-related, financial, or family-related. We will treat this information with particular care and will only use or share it for the purpose for which it was provided, or for a directly related purpose, unless the person has authorised another use or disclosure, or the law permits or requires us to act. Prayer requests or pastoral matters will be handled respectfully and discreetly.

6. Disclosure of personal information

We will not sell personal information. We may disclose personal information only where it is necessary and appropriate, including to trustees, staff, volunteers, ministry leaders, professional advisers, service providers, partner organisations, funders, auditors, insurers, regulators, government agencies, or emergency services. We may also disclose information where required or authorised by law, where necessary to prevent or lessen a serious threat to health or safety, or where consent has been given.

7. Storage and security

We take reasonable steps to protect personal information from loss, misuse, unauthorised access, disclosure, alteration, or destruction. This may include secure filing, password protection, access controls, careful email practices, staff and volunteer awareness, and limiting access to those who need the information for their role. We will retain personal information only for as long as it is needed for the purpose for which it was collected, or as required by law.

8. Accessing and correcting personal information

A person has the right to ask whether we hold personal information about them and to request access to that information. They may also ask us to correct information that is inaccurate, incomplete, or out of date. We will respond to access and correction requests in accordance with the Privacy Act 2020.

9. Privacy breaches

If a privacy breach occurs, we will take prompt steps to contain and assess the breach, reduce any potential harm, and prevent it from happening again. If the breach has caused, or is likely to cause, serious harm, we will notify the affected person and the Office of the Privacy Commissioner as required by law.

10. Website, email, and social media

If we operate a website, email newsletter, online form, or social media page, we may collect information provided through those channels. We may also receive basic technical information such as browser type, device information, approximate location, or website usage information where analytics or security tools are used. We will use online information only for legitimate organisational purposes and will seek consent before using identifiable images or personal stories in public communications, unless another lawful basis applies.

11. Overseas service providers

Some technology or administrative service providers we use may store or process information outside New Zealand. Where this applies, we will take reasonable steps to ensure personal information remains protected in a way that is consistent with New Zealand privacy requirements for overseas disclosure.

12. Children and young people

Where we collect information about children or young people, we will take extra care to ensure collection and use is appropriate, respectful, and in the best interests of the child or young person. Where appropriate, we will seek consent from a parent, guardian, or caregiver, particularly for participation in programmes, photographs, videos, transport, or support services.
